1. Scope & Applicability
This Policy applies to information collected through our websites, beta sites, App, and communications channels (SMS/MMS, WhatsApp, Signal, Zoho, Dialpad, Belfry, email, phone, and social media platforms). It does not apply to third-party websites or services that we do not control.
2. Definitions
Personal Information (PI): Information that identifies, relates to, describes, or could reasonably be linked to an identified or identifiable individual.
Sensitive Personal Information (SPI): Under CPRA/GDPR, certain categories such as government IDs, precise geolocation, financial data, health or biometric data, or information about security clearances or background checks.
Service Provider/Processor: A vendor that processes PI on our behalf under written contract and does not sell or use PI for purposes beyond our instructions.
Sell/Share (CPRA): “Sell” means disclosure of PI for monetary or other valuable consideration; “Share” means disclosure of PI for cross-context behavioral advertising.
3. Categories of Personal Information We Collect
We collect personal information in several ways, including information you provide directly, information collected automatically, and information received from third parties.
We may collect the following categories (examples are illustrative, not exhaustive):
Identifiers & Contact Data: Name, alias, postal address, email, phone, usernames/handles, device IDs.
Commercial & Transaction Data: Service bookings, invoices, receipts (card processing handled by Stripe/PayPal; we do not store full card numbers).
Account Credentials: Encrypted passwords, role/permission metadata.
Internet/Network Activity: IP address, device/browser type, pages viewed, timestamps, referrers, app usage data, crash logs.
Geolocation: Approximate or precise location with your consent (e.g., for service logistics).
Audio/Visual/Electronic Data: Call recordings, voicemail, CCTV interactions related to dispatch (where lawful and disclosed), message logs/metadata.
Professional/Employment Data: For staff/contractors (e.g., role, shift, qualifications).
Sensitive Personal Information (SPI): Government ID (e.g., driver’s license) for verification where required, background check results only with explicit consent and only when required by law, contract, or at your request, limited medical/health suitability certifications where legally required for assignments, and operationally sensitive security information (see Section 6).
Inferences: Minimal operational inferences (e.g., assignment suitability) used only to provide services—not for unrelated profiling.
We do not intentionally collect PI from persons under 18 (see Section 17).
4. Sources of Personal Information
You: Forms, account creation, bookings, emails, calls, SMS/MMS, WhatsApp, Signal, Zoho, Dialpad, Belfry, phone, social media interactions, and in-person interactions.
a) Information You Provide Directly
Contact Forms & Quote Requests: When you contact us, request a quote, or inquire about services, we may collect your name, email, phone number, company or organization name, and any details or messages you include.
Newsletter Sign-Ups: We collect your email address and any optional information you provide to send updates or marketing content, with your consent.
User Account/Booking: If you create an account or book services, we collect your name, email, phone, address, password (encrypted), and booking or service preferences.
Payment Information: When you pay for services, your billing address and card type may be collected. Payment card numbers are NOT stored by us—they are processed directly by secure third-party payment processors (e.g., Stripe, PayPal); we may store the last four digits and expiration date for reference and customer support.
Surveys, Reviews, and Feedback: If you fill out surveys, provide reviews, or send us feedback, we collect that information.
Communications: We may collect information you provide in phone calls, emails, online chats, or other forms of communication with us. Calls may be monitored or recorded for quality assurance, training, security, and compliance, to the extent permitted by law.
Automatic Collection: Cookies, SDKs, logs, and analytics (e.g., Google Analytics; Cloudflare security analytics).
b) Information Collected Automatically
When you visit our websites or use our App, we automatically collect certain information, including:
Log Data: Such as your IP address, browser type, operating system, referring website, pages visited, time spent on our site, and access times.
Device Data: Including device type, operating system version, unique device identifiers (e.g., IMEI, IDFA), and network information.
Location Data: With your consent, we may collect approximate or precise geolocation data (for example, to support mobile booking services).
Usage Data: Information about how you interact with our websites and App, such as pages viewed, features used, clickstream data, and other activity metrics.
Cookies and Tracking Technologies: We use cookies and similar tracking technologies to provide and improve our services, analyze site traffic, enhance security, and deliver relevant content. Please see the “Cookies and Tracking Technologies” section for more information.
Service Providers/Partners: Payment processors (Stripe/PayPal), analytics/security (Cloudflare), communications (Dialpad, Belfry, WhatsApp, Signal, Zoho).
c) Information from Third-Party Sources
We may receive information about you from third-party partners and services, including:
Analytics Providers: Such as Google Analytics and Cloudflare Analytics, which may collect IP addresses, device and browser information, site usage statistics, and interaction patterns to help us understand and improve our services.
Cloudflare: As our security and performance provider, Cloudflare may process your traffic data—including IP addresses—for DDoS mitigation, firewall protection, and content delivery optimization.
Background Check Providers: For certain service providers, we may receive results of background checks as permitted by law.
Marketing Partners: If you engage with us through third-party advertisements, referrals, or campaigns, we may receive information related to those interactions.
Background Check Providers: Only with explicit consent and only when required by law/contract or upon your request.
We do not knowingly collect personal information from children under the age of 18. Please see our Children’s Privacy section for more information.
5. How We Use Personal Information (Purposes & Legal Bases)
Purposes (all users):
Deliver services; manage bookings and accounts
Coordinate staffing and operations; confirm schedules; dispatch information
Provide customer support and respond to inquiries

Access is limited to authorized personnel and vetted subcontractors under binding Non-Disclosure Agreements (NDAs) and role-based permissions.
Unauthorized disclosure or use is strictly prohibited and may result in disciplinary/contract/legal action.
Legal Disclosures
We do not voluntarily share this information with third parties.
Disclosure occurs only when required by valid subpoena, court order, or lawful government/regulatory request.
Where permitted, we provide narrowly tailored disclosures and notify affected clients or parties.
We may disclose information in good-faith emergencies if necessary to prevent an imminent threat to life or serious physical injury.
7. Messaging & Communications (SMS/MMS, WhatsApp, Signal, Zoho, Dialpad, Belfry, Email, Phone, and Social Media)
Program Description
We communicate with clients, prospective clients, employees, contractors, subcontractors, vendors, and partner firms via SMS/MMS (Dialpad, Belfry), WhatsApp, Signal, Zoho, Dialpad and Belfry (which also handle email and phone communications), email, phone (including VoIP and traditional calls), and social media platforms (such as X, Facebook, LinkedIn, Instagram, and others) for: confirmations, scheduling, operational updates, shift coordination, service reminders, account notices, security alerts/safety updates, and—only with consent—marketing.
Consent & Opt-In
SMS/MMS (Dialpad, Belfry): By providing your number on our websites, forms, IVR, at POS/on-site, by keyword, or by texting us first (conversational), you consent to receive texts. Consent is not a condition of purchase.
WhatsApp/Signal: Opt-in occurs when you initiate contact or expressly authorize us to message you on those platforms. You can stop at any time using app controls.
Email/Zoho/Belfry: You opt in by providing your email or subscribing. Unsubscribe links are provided for marketing emails; some service/transactional emails are necessary for your account.
Phone (Dialpad, Belfry): By providing your phone number or initiating calls, you consent to receive calls. Calls may be monitored or recorded for quality assurance, training, security, and compliance, to the extent permitted by law.
Social Media: By interacting with us on social media platforms (e.g., messaging, commenting, or following), you consent to communications via those platforms, subject to the platforms' own privacy policies and your account settings.
Opt-Out & Help
SMS/MMS: Reply STOP to opt out; reply HELP for assistance. Opt-outs are honored immediately and logged.
WhatsApp/Signal/Social Media: Block or disable communications at any time, or contact us to request removal.
Email: Click unsubscribe in any marketing email or contact us.
Phone: Request to be added to our internal do-not-call list by contacting us.

Frequency & Rates
Message frequency varies by role/activity (e.g., more frequent for active assignments).
Message and data rates may apply.
Carriers are not liable for delayed or undelivered messages.
We may use multiple phone numbers (office lines, supervisors, site phones, field personnel) to ensure proper routing and auditability.
Data Used for Messaging
Mobile number, carrier, device metadata, message logs (timestamps, delivery status), consent/opt-out status, and preference settings—maintained for compliance and audit.
We do not sell or share messaging data with unaffiliated third parties.
Compliance
We follow TCPA and CTIA guidelines for consent, STOP/HELP handling, and content standards.
We follow CAN-SPAM for marketing emails (clear identification, unsubscribe, accurate sender info).
For social media, we adhere to platform-specific guidelines and privacy standards.

9. How We Share and Disclose Information
We do not sell your PI. We may share information in the following circumstances:
a) With Service Providers and Partners
Cloudflare: As our security, performance, and DNS provider, Cloudflare processes site and app traffic data, including IP addresses, for DDoS mitigation, firewall filtering, and performance optimization. See Cloudflare’s Privacy Policy.
Web Hosting Provider: Our web hosts process website traffic and store site files, server logs, and email data.
Payment Processors: (e.g., Stripe, PayPal) handle payment details securely; we do not see or store your full card information.
Analytics Providers: (e.g., Google Analytics) to help us analyze site/app usage and performance.
Email Marketing Services: (e.g., Mailchimp, SendGrid) if you sign up for newsletters.
Background Check Services: For service provider vetting (where applicable).
We share only as described:
Service Providers/Processors: Cloudflare (security/DNS/CDN), Google Analytics (analytics), Stripe/PayPal (payments), Zoho (CRM/email), Dialpad & Belfry (communications, including SMS/MMS, email, and phone), and vetted vendors needed to operate our services—under written contracts restricting use to our purposes.
Background Check Providers: Only with your explicit consent, and only when required by law/contract or at your request.
Legal/Regulatory: When required by law, subpoena, court order, or lawful government request. Legal and Regulatory Authorities: As required by law, regulation, subpoena, or court order.
b) Business Transfers
If we are involved in a merger, acquisition, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction. You will be notified via email or notice on our site/app. In a merger, acquisition, reorganization, or asset sale, PI may transfer as part of the transaction; we will provide notice as required.
c) With Your Consent
We may share information for other purposes with your explicit consent. For any other purpose you authorize in writing.
Operationally Sensitive Information is shared internally on a need-to-know basis under NDA and externally only if legally compelled (see Section 6).
10. International Data Transfers
If you use our websites or App from outside the United States, your personal information may be transferred to and processed in the United States or other countries. We use appropriate safeguards (such as Standard Contractual Clauses or adequacy decisions) to ensure the protection of your information consistent with this policy and applicable law.
If you access our services outside the U.S., your PI may be processed in the U.S. or other jurisdictions. We use legally appropriate safeguards (e.g., Standard Contractual Clauses) for cross-border transfers where required.
11. Data Security
We are committed to the highest standards of security. Our measures include:
SSL/TLS Encryption: All data transmitted between your browser/device and our servers is encrypted using SSL/TLS.
Cloudflare Security: Cloudflare provides DDoS protection, firewall, secure DNS, and site-wide HTTPS.
Access Controls: Access to personal data is restricted to authorized personnel only.
Firewalls and Monitoring: Web application firewall, intrusion detection, and log monitoring.
Regular Security Audits: We routinely review and update our security practices.
DNSSEC (Domain Name System Security Extensions): We strive to enable DNSSEC for all domains to ensure integrity of DNS responses and prevent DNS spoofing. If DNSSEC is not currently enabled for your domain, we are working with Cloudflare and our registrars to resolve any issues.
Note: While we strive to protect your data, no system is completely secure. Please use caution and secure your own accounts with strong, unique passwords.
We implement technical, administrative, and physical safeguards, including:
SSL/TLS encryption in transit; hardened hosting
Cloudflare DDoS mitigation, WAF, secure DNS; DNSSEC adoption on protected domains
Role-based access controls; least-privilege; MFA where appropriate
Logging, intrusion detection, and monitoring
Security reviews and updates; vendor risk management
No system is 100% secure. Use strong, unique passwords and safeguard your credentials.
12. Data Retention
We retain personal information only as long as necessary to fulfill the purposes for which it was collected, to provide our services, or as required by applicable law. The duration for which we retain your data varies depending on the type of information and the context in which it was collected.
California Residents:
In accordance with the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), we will not retain your personal information for longer than is reasonably necessary for the purposes disclosed in this Privacy Policy. We use the following guidelines for data retention:
Account Information: We retain your account and profile information while your account remains active or as needed to provide you with services. If you request account deletion, we will delete your information within a reasonable time unless we are legally required or permitted to retain it.
Service and Transaction Records: We retain transaction records (such as bookings, invoices, and payment history) for a minimum of seven (7) years to comply with tax, accounting, regulatory, and business recordkeeping requirements. Some transaction data may be retained for up to ten (10) years as required by law or for audit purposes.
Customer Support and Communications: Records of customer support communications are generally retained for up to five (5) years for quality assurance, training, and dispute resolution.
Marketing Preferences: We retain information related to your marketing preferences (such as opt-ins and opt-outs) until you unsubscribe, withdraw consent, or as required by law.
Security Logs and Backups: System logs, audit logs, and backup data are typically retained for between 30 days and 2 years, depending on the nature of the log and our operational security requirements.
Legal Holds: If we are subject to a legal obligation or investigation, we may preserve certain information for as long as required by law, subpoena, or regulatory authority.
After the applicable retention period, we will securely delete, de-identify, or anonymize your personal information in accordance with our internal policies and industry standards. If deletion is not possible (for example, in backup archives), we will isolate and securely protect the information from any further processing until deletion is possible.
Your Rights Regarding Data Retention:
You may request deletion of your personal information as described in the “Your Privacy Rights and Choices” section of this Privacy Policy. We will honor such requests unless retention is required by law or necessary for legitimate business purposes such as fraud prevention or dispute resolution.

Account & Profile: While active; delete upon verified request unless retention is required.
Transactions/Tax/Accounting: 7–10 years.
Support/Communications (incl. message logs): Up to 5 years, or longer if required for legal or operational reasons.
Security Logs/Backups: 30 days to 2 years (type-dependent).
Operationally Sensitive Records: Retained per legal/contractual requirements and risk standards; minimized/segmented on a need-to-know basis.
Legal Holds: Preserved as required by law/regulator/court.
When a retention period ends, we delete, de-identify, or aggregate data. If deletion is not feasible (e.g., backups), we isolate and protect it from further processing.
13. Your Privacy Rights and Choices (U.S. State Laws & GDPR)
Depending on your jurisdiction, you may have rights under applicable law, including:
Right to Access: Request a copy of your personal information.
Right to Rectification: Request correction of inaccurate or incomplete data.
Right to Erasure (“Right to be Forgotten”): Request deletion of your data (subject to legal exceptions).

We may need to verify your identity before responding to your request. Calls may be monitored or recorded for quality assurance, training, security, and compliance, to the extent permitted by law.
We aim to respond within 30 days or as otherwise required by law (e.g., 45 days under CCPA/CPRA, extendable once).

14. “Do Not Sell or Share,” Targeted Advertising, and Sensitive PI
We do not sell PI and do not share PI for cross-context behavioral advertising.
We use Service Providers/Processors under contract to operate our services.
We do not use Sensitive Personal Information to infer characteristics beyond what is necessary to provide services or comply with law.
If our practices change, we will update this Policy and provide required opt-out mechanisms.
15. Financial Incentives (CPRA)
We do not offer programs that provide financial incentives in exchange for PI. If this changes, we will disclose program terms and obtain informed opt-in consent.
16. Do Not Track (DNT)

We use Cloudflare for security, DNS, performance optimization, and protection against DDoS attacks. When you visit our sites or use our App, Cloudflare may process your traffic data (including IP address, device/browser info, and cookies). Cloudflare acts as a data processor for these purposes. As of this policy’s effective date, some DNSSEC configurations may be incomplete or “insecure.” We are actively working with Cloudflare and our registrars to correct any outstanding issues.
